The problem

Pet owners were juggling four separate services. The platform needed one interface that made them feel like one thing.

The brief

VetPass is an all-in-one platform for pet owners: appointments, vaccination records, prescriptions and the practices that provide them. It sits between two very different users, the pet owner and the veterinary practice, and it has to be usable by both.

The emotional context

Most software is used by people in a neutral frame of mind. Veterinary software is not. A significant proportion of visits happen because something is wrong, and the person using the site is worried.

That changes what good design means here. Copy is plain and direct rather than cheerful. The route to booking an urgent appointment is visible without scrolling and is not competing with promotional content. Nothing on the site is playful in a way that would read as tone-deaf to someone whose animal is unwell.

Records

Vaccination records are the feature that keeps people coming back, because they are needed at moments that are hard to predict: boarding, travel, a change of practice, an emergency at a different clinic. That means they have to be findable quickly and readable on a phone in a car park.

The record view is built mobile-first for exactly that reason, with the most recent entries at the top and the certificate available as a download. Nothing about it requires a desktop.

Booking

The booking flow asks for the minimum needed to make an appointment and defers everything else. Asking for a full pet profile before a first booking is how a platform loses a user who is trying to solve a problem today.

Appointment types are separated because they have genuinely different urgency and duration, and presenting a consultation, a vaccination and a grooming appointment as interchangeable options makes the urgent case harder to find.

The build

WordPress with custom types for pets, practices, appointment types and services. Pet records are tied to a user account with capability checks on every view, so a record can only be read by its owner and the practice treating the animal.

That access control is written as a capability rather than as a check inside a template, which means a new template cannot accidentally expose data by forgetting to include the check.

Privacy

Health records, even animal ones, deserve care. Nothing identifying appears in a URL, nothing is stored that the platform does not need, and the analytics on the site do not track behaviour inside the account area at all.

Design

Warm without being twee. Photography is of real animals with their owners rather than of studio-lit pets, because the platform is used by people who are attached to a specific animal and generic cuteness does not speak to that.

What the client can manage

Practices, services, appointment types and content. The record structure is fixed, because it is the part that has to stay consistent for the data to remain useful.
